Terms of Service

1. About these terms

These Terms of Service (“Terms”) govern your use of the SiteVault platform (“Service”), operated by The Supports Desk, 39 Rathmore Heights, Ballymena, BT43 6NQ, United Kingdom (“we”, “us”, “our”). By creating an account or using the Service, you agree to these Terms.

2. The Service

SiteVault is a cloud-based compliance tracking platform for the UK construction industry. It allows you to manage worker records, track document expiry dates, receive alerts, and generate audit-ready PDF reports.

SiteVault is a compliance management tool — it does not replace professional legal advice. You remain responsible for ensuring your workforce is fully compliant with all relevant regulations.

3. Account registration

To use SiteVault, you must create an account with accurate and complete information. You are responsible for maintaining the security of your account credentials. You must notify us immediately if you become aware of any unauthorised access to your account.

4. Subscriptions and payment

SiteVault is a paid subscription service. We offer two plans: Standard (£19/month) and Pro (£49/month). All new accounts receive a 7-day free trial. Payment is collected automatically via Stripe at the end of your trial period and monthly thereafter.

Prices are in GBP and may be subject to VAT where applicable. We reserve the right to change pricing with 30 days' notice.

5. Cancellation and refunds

You may cancel your subscription at any time through the Stripe billing portal. Upon cancellation, you will retain access until the end of your current billing period.

Under the UK Consumer Contracts Regulations 2013, you have a 14-day cooling-off period from the date of your initial subscription. If you cancel within this period, you are entitled to a full refund of any payment made. To request a refund, contact brian@thesupportsdesk.com.

After the 14-day cooling-off period, no refunds will be issued for partial billing periods.

6. Free trial

New users receive a 7-day free trial. You must provide valid payment details to start the trial. If you do not cancel before the trial ends, your subscription will begin automatically and you will be charged at your selected plan rate.

7. Your data

You retain ownership of all data you upload to SiteVault, including worker records and documents. We process your data in accordance with our Privacy Policy.

You are responsible for ensuring you have the necessary permissions to upload personal data of your workers to the platform.

8. Acceptable use

You agree not to:

  • Use the Service for any unlawful purpose
  • Upload malicious files, viruses, or harmful content
  • Attempt to gain unauthorised access to our systems
  • Resell or redistribute access to the Service
  • Use the Service to store data unrelated to construction compliance

We reserve the right to suspend or terminate accounts that violate these terms.

9. Availability and uptime

We aim to keep SiteVault available 24/7 but do not guarantee uninterrupted access. We may perform maintenance or updates that temporarily affect availability. We are not liable for any losses caused by downtime.

10. Limitation of liability

To the maximum extent permitted by law, The Supports Desk shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenue, arising from your use of the Service.

Our total liability for any claim arising from or related to the Service shall not exceed the amount you paid us in the 12 months preceding the claim.

Nothing in these Terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

11. Intellectual property

The SiteVault name, logo, and all software, design, and content are the intellectual property of The Supports Desk. You may not copy, modify, or distribute any part of the Service without our written permission.

12. Termination

We may suspend or terminate your account if you breach these Terms. Upon termination, your data will be retained for 90 days, after which it will be permanently deleted. You may request your data before deletion by contacting us.

13. Changes to these terms

We may update these Terms from time to time. We will notify you of material changes by email or within the application. Continued use of the Service after changes constitutes acceptance of the updated Terms.

14. Governing law

These Terms are governed by the laws of Northern Ireland and the United Kingdom. Any disputes shall be subject to the exclusive jurisdiction of the courts of Northern Ireland.
